Open tender for catering and food services during training courses in Kyiv

NGO "Kyiv School of Public Administration named after Serhiy Nyzhnyy" within the grant project "Advocacy of veterans' rights: development of policies. Training course for representatives of local self-government bodies", which is implemented with the support of UNDP, announces an open tender for catering and food services during trainings in the city of Kyiv

The subject of the purchase is the following services: catering and provision of food during training courses in the premises of KSPA at the address of Kyiv, str. Dobrovolchyh Batalioniv, 10.
 
Detailed description of goods/services that are announced.
1. 2 coffee-breaks per day during a tree day offline training course for 35 people from 19th-22nd of August 2024. Total amount - 6 coffee-breaks including a drink of choice: water, juice, coffee, tea
2. Provision of food services (breakfast - 3 times, lunch - 3 times, dinner - 3 times. Including a drink of choice for participants of a training course) during a 3-day offline training course (35 people) in the city of Kyiv, 19yh-22nd of August 2024. Number of meals: 9
3. Tender proposals must not contain alcohol drinks
 
Term of provision of goods/services: from 19.08.2024 to 22.08.2024
Requirements for the supplier of goods/services - tender participant
 
Entities engaged in entrepreneurial activities, duly registered under Ukrainian law, with experience in the relevant field, appropriate NACE codes for conducting trade/providing services, the ability to provide the declared services in the specified quantity and within the specified time frame at the indicated address, and the ability to provide original accompanying documents with a stamp and signature (service contract, invoice, act of completed works) are invited to participate in the tender.

Tender participant has to provide the following documents to organizator:
1.   A copy of the document confirming state registration;
2.   A copy of the document confirming the taxation status;
3.   A tender proposal, filled in according to the sample (attached);
4.   Original Invoice;
5.   A sample contract for the provision of services;
6.   A detailed calculation of the cost of services, which will include the proposed option of a coffee break, breakfast, lunch and dinner menu;
7.   Documents confirming experience (recommendation letters, contracts for similar works/services, etc)
 
Essential criteria (conditions) for the selection of tender offers:
1.   Compliance of the participant with the qualification requirements of the tender announcement;
2.   Compliance of the submitted documents with the conditions of the tender announcement
3.   The quality of the service description and compliance with the organizer's expectations
4.   Acceptable price, terms of payment and terms of provision of goods/services
 
Tender procedures
Questions regarding the tender can be sent electronically to email to the address (berezina.s@kspa.com.ua) by 6:00 p.m. on August 14, 2024.
Tenders that fully comply with the conditions of this tender announcement are allowed to participate in the selection of tenders.
Tender offers must be valid and will not be subject to changes by the tenderers who submitted them, until the services/works/handover of the goods are fully completed.

Tender documents must be drawn up in Ukrainian, signed by an authorized person of the participant and certified with a seal (if available) and sent electronically (in PDF format) by the participant to the email address of UNDP grants.ua@undp.org with the subject of the letter "«Відкритий тендер _2024/07/035/VET_назва учасника»" until 6 p.m. on August 14, 2024. All bids received by the organizer after the deadline for their submission, namely after 6:00 p.m. on August 14, 2024, will not be considered.
The winner of the tender will be determined by the tender organizer after the financial and technical evaluation of the proposed tenders, but no later than August 15, 2024.

The results of the tender will be notified by the organizer to the tender participants by sending relevant messages by e-mail within no more than three working days from the date of the decision to determine the winners.

Additional caveats
The participant of this general procedure (open tender) takes into account and agrees with the fact that the tender organizer reserves the right to demand from the tender participant additional documents and/or information confirming the compliance of individual provisions of the documents with the requirements and conditions of this tender announcement.
By submitting documents for participation in the general procedure (open tender) under this tender announcement, the participant of this general procedure (open tender) confirms his understanding and agreement that the tender organizer may reject his tender offer in the event that the offers of other participants contain more favorable terms , and that the tender organizer is not limited in accepting any other offer with more favorable conditions for him.
